GENERAL SUMMARY:

Responsible for performing a variety of clerical, record keeping, and customer service tasks to assist customers with the smooth operation of the facility; and, as first point of contact with organization, representing a professional image of the organization through answering telephones and greeting visitors. They will work closely with sales, warehouse, vendors, customer service, and management team. Pay: $20.00-$22.00 / hour

ESSENTIAL DUTIES AND RESPONSIBILITIES:

1. Performing a variety of clerical, record keeping, and customer service tasks to assist with the smooth operation of the facility to include:
  • data analysis and creating reports and presentations for management
  • ability to create reports in excel and manipulate accurately for reporting and billing purposes
  • meeting and event coordination and support
  • receiving and distributing packages and mail
  • performing data entry and filing tasks for appropriate department
2. Answering telephones and greeting visitors in a way that creates a positive image for company to include:
  • greeting callers/visitors in a friendly and courteous manner
  • directing callers/visitors to appropriate individuals or areas
  • routing calls to appropriate individuals and/or departments
  • taking accurate messages
  • ensuring reception area is tidy and presentable
  • maintaining security by following procedures, monitoring logbook, and issuing visitor badges
3. Performing office upkeep duties to include:
  • setting up and cleaning meeting rooms and classrooms
  • stocking, cleaning and organizing supply room, storage rooms and bathroom shelves
  • ensuring that copy machines, printers and fax machines are stocked with paper/toner/ink at all times
4. Support Engineering to include:
  • formatting Engineering quotes to send to customers.
  • maintain Salesforce for Equipment opportunities to reflect the current status of project.
  • update Service Opportunities in Salesforce to let people know when Engineering Services will be at their customer site.
  • create Parts Opportunities in Salesforce for new Parts Leads.
5. Performing other duties as assigned.

QUALIFICATIONS:

  • Requires high school education or equivalent
  • Requires a minimum of two years of clerical experience and customer service
  • Skills should include intermediate knowledge of MS Outlook and Google Suite. Skills in MS Word, Excel, Power Point, SalesForce, and Access a plus
  • Requires excellent interpersonal, communications, and customer relations skills
  • Attention to detail and mental concentration are necessary for accurately performing clerical tasks, balancing multiple priorities and handling frequent interruptions
  • Ability to sit, talk, listen and stand for extended periods of time
  • Ability to perform telephone-related hand and finger movements to operate the company’s phone system
  • Ability to move about frequently and squat, bend and raise arms above shoulder level occasionally
  • Ability to operate a personal computer (for data entry), postage machine, copy machine and fax machine
  • Ability to express or exchange ideas by means of the spoken word
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus
  • Ability to lift or move 10+ pound
  • Ability to read, write, problem solve and reason

WORKING CONDITIONS:

The noise level in the primary work environment is usually moderate i.e., business office with computer printer, and light traffic.
